How to Hire a Worker From Asia in Ukraine – Step by Step

From the first request to the first day on the shop floor: what happens at every stage, who is responsible for what, and how long the whole process really takes in Ukraine.

1. Job request and position profile

Everything starts with a precise description of the position: the number of people needed, scope of duties, shift system, required experience, pay conditions, and the date by which the workers must be on site in Ukraine. The more detailed the brief, the more accurate the candidate pre-selection.

  • Hard requirements: experience, qualifications, language level
  • Conditions: hourly rate, bonuses, shift system, overtime
  • Housing: whether the employer provides it or we arrange it

2. Candidate pre-selection

We source candidates through local partners in our recruitment countries. We run a pre-selection process: we verify documents, professional experience and motivation to relocate to Ukraine, then we send the full set of candidate profiles for the employer's approval.

Important

Standard pre-selection does not include practical tests or language exams. Practical tests are available as an optional, separately paid add-on, only if the client requests them.

3. Contract and document verification

Once candidates are approved, we compile the employer's documents and prepare a transparent contract with clear pay conditions. This is usually one of the most important stages of the whole process, and in practice it is what determines the actual arrival date.

4. Preparing for departure

Once the contract is confirmed, we finalise the candidate's document package and plan the departure date. Timing depends on flight availability and how quickly both sides respond – this is the one element no agency can control directly.

    We organise the flight and the transfer from the airport straight to the address in Ukraine.

    The flat or lodging is ready before arrival, at a standard agreed with the employer.

    Address registration, bank account setup, medical check-up and workplace safety (BHP) training.

6. Aftercare once employment starts

Once work begins, one coordinator stays with you: they track upcoming document deadlines, help with communication with the workers, and respond to any urgent situations. This is usually what decides whether the team stays for longer.
